On Aug. 10, the University announced plans to modify the payroll schedule for non-classified employees. Beginning in January 2019, non-classified employees, excluding nine-month faculty and adjunct instructors, will be paid on a biweekly cycle. The change to biweekly from monthly pay periods will impact our non-classified staff, academic administrators, and graduate and undergraduate student employees. Although the Human Resources and Finance components of Workday will not go live until Fiscal Year 2020, the new schedule must be implemented in advance to perform the necessary parallel testing between our mainframe system and Workday.

Payroll Schedule Change

As indicated above, this payroll schedule change will impact both undergraduate and graduate student employees: 

Graduate Assistants, Teaching Assistants, and Research Assistants:

  • The last monthly payroll disbursement will be Dec. 28 for the month of December.
  • The first biweekly pay date will be Jan. 11 for the period covering Jan. 1-4.
  • The first full biweekly pay cycle will be paid on Jan. 25 for the period covering Jan. 5-18.

Other Student Employees (Both Regular Student Labor funds and Federal College Work-study funds:

  • The last four-week payroll disbursement will be issued on Friday, Jan. 11 for the pay period ending Jan. 4.
  • The first biweekly payroll will be paid on Jan. 25 for the pay period covering Jan. 5-18.

Time and Attendance Reporting (Time Sheets)

Both graduate and undergraduate students will continue report time and attendance on a modified paper time sheet to reflect the new biweekly pay cycle until the implementation of Workday. 

Graduate Assistants, Teaching Assistants, and Research Assistants:

  • The Office of the Comptroller will email a new Graduate Assistant Attendance report template.  This template will also be available online at https://www.latech.edu/documents/2018/07/graduate-assistant-attendance-form.pdf/
  • This new Graduate Assistant Attendance Report will be due to the Office of Human Resources the Wednesday following the end of pay period. 
  • For example, attendance reports for the Jan. 1-4 pay period will be due Wednesday, Jan. 9 and the attendance report for the pay period ending Friday, Jan. 18, will be due in the Office of Human Resources Wednesday, Jan. 23.

Other Student Employees (Both Regular Student Labor funds and Federal College Work-study funds:

  • The new undergraduate student payroll timesheets will be distributed in the normal manner from Carol Clements in the Office of Financial Aid for the first biweekly pay period. 
  • The completed biweekly timesheets will be due at 5 p.m. in the Office of Financial Aid on the last Friday of each pay period. 
  • For example, the first student payroll ending on Friday, Jan. 18 will be due to the Office of Financial Aid by the end of that day.
