Use of Materials
Introduction
Since many of the materials housed in this repository are rare or unique, and some fragile or brittle, it is essential that particular care be taken in handling each item. We request your cooperation in replacing this valuable and irreplaceable material for the use of future generations by observing the following regulations.
The repository reserves the right to deny access to its materials to those who do not observe these regulations or who subject the materials to treatment judged by the staff to be injurious. Theft of materials is subject to prosecutions under Louisiana State Code of Criminal Procedure Article 215B.
Registration
You will be asked to complete and sign a registration form and to provide as proof of identification one form of picture ID. A record of the collections you consult will be listed on this form.
Reading Room Policies
Consult material only in the Reading Room. Items may not be removed to another floor of the Library, nor circulated for use in another building, nor taken home.
Leave personal items (books, briefcases, backpacks, coats, purses, etc.) in the lockers provided or at the front desk.
No food, drink, or tobacco is permitted.
Proper Handling of Materials
All materials are housed in closed stacks and are brought to the Reading Room by staff. Only one folder of manuscript collection or archive may be consulted at one time.
Use materials with extreme care. Materials may not be leaned on, written on, folded, traced from, or handled in any way likely to damage them.
When consulting manuscripts and archives, maintain the exact order of the items within a folder. Do not remove materials from the folder.
Keep track of all materials consulted, including books, in the Reading Room.
Use only a pencil to take notes. (No ink pens, indelible pencils, or typewriter correction fluid!)
Do not re-shelve books, Please return them to the front desk.
Photoduplication or Scanning
Photocopying and photoduplication requests must be approved by Special Collections staff in order to protect fragile materials.
The physical condition of the materials to be copied is of primary concern and photoduplication that might damage or alter the original in any way is not allowed.
Original artwork or tightly bound, fragile, or oversize books cannot be copied on a copy machine; although, it may be possible to photograph these materials.
Please specify the purpose (study, publication, exhibition, etc.) for which the duplicated material is intended.
Special Collections reserves the right to limit the size of photoduplication orders and to not duplicate an entire collection. The Copyright Law of the United States [Title 17, United States Code] governs the making of photocopies or other reproductions of copyrighted materials.
Special Collections staff reserve the right to refuse duplication if, in their judgment, fulfillment of the order would involve violation of copyright law.
If you plan to publish materials obtained from Special Collections, you must complete the Permission to publish form.

Photographic reproductions (via 35mm negatives) may be possible through the university photographer.
Checks and Money Orders should be made out to: LTU Prescott Memorial Library with Special Collections in the MEMO section.
Publishing materials from Special Collections
Determine copyright status of materials to be published. If it is not in public domain, written copyright permission is required from the copyright holder and must be provided to Special Collections staff.
The Permission to Publish form must be completed and submitted to Special Collections staff. Depending on the nature of the publication a Use Fee may also be assessed

Citation
Citation of material should include its format, the name of its collection, collection number, folder number, and the name of the repository:
